New case-management system provides a hub for reporting incidents and concerns

NEOMED has now fully implemented a new case management system on campus called Maxient. This case management system will be the hub for employees and students to report incidents and concerns to the appropriate departments on campus. Currently, we are using Maxient for Title IX reporting, student conduct, employee relations, Care Team, academic accommodations, disability accommodations, and CAPP processes, but we fully expect more processes to be implemented into Maxient as the campus community becomes more familiar with the system.

Previously, all offices were using their own reporting forms and document/evidence retention processes. Maxient brings all of those forms and processes into one place. It will allow us to get a holistic understanding of what services students and employees are using and how we can potentially improve them in the future.

How do I report a situation?

To report a situation, please visit neomed.edu/reporting to see the various reporting forms that are available. Choose the form that best describes the situation you want to report and fill out the information requested.

What happens after I submit a report?

After a form is submitted, Maxient will send an email to the person responsible for monitoring the form to review the submission. In most cases, that person will send you a follow-up email within a couple of days to let you know they reviewed the information that was reported on the form and what the next steps are in the process. Maxient reporting forms should not be used in emergency situations as they are not monitored 24/7. Please use an alternative reporting option for emergencies (NEOMED PD/Security) and then submit a report when the emergency has been resolved.

What if I filled out the wrong form?

Don’t worry! Maxient will allow the office who receives the form to forward the report to the correct office who would oversee the issue you reported. No need to fill out another form!

Will other people see my report?

Maxient is set up so that each office can only see the details of the reports they directly oversee. For example, the Title IX Office can only see Title IX reports and would not be able to access report details for CARE Team cases or any other cases. NEOMED employees will give the same attention to the confidentiality of reports as they did prior to implementing Maxient.

Can I report anonymously?

For some processes, yes. For forms that are requesting accommodations, we would need to know your name. Maxient is supported by our Single Sign On process, however, you can choose to “log out” by clicking the “Not you?” link. Once you do that, you have the option to leave the “Name” box blank and still submit your report. But please note, anonymous reports can hinder an office’s ability to remediate the concern that is reported in some instances.
