Putting people first in NEOMED's AI future

NEOMED is launching an Artificial Intelligence (AI) Adoption Pilot Program to help students, faculty and staff use AI responsibly, confidently and effectively. The results of this pilot will inform a full-campus integration plan for 2027. Pilot participants will receive an email with next steps for participation, including information on required training sessions.

AI is changing the way we learn and work, and NEOMED's approach starts with you. The plan is bringing together education and cybersecurity, leveraging foundations, data security and skills training to accomplish one goal: Use AI to give you more time for the work that deserves your time and attention.

Pilot Program Overview

The Strategy & Transformation and Information Technology teams are leading an AI Adoption Pilot that will take place over the next few months. Identified participants will be contacted via email with more information. The program provides data security and skills training encouraging effective, ethical and responsible AI usage with Microsoft Copilot as the enterprise training tool. Access to Copilot will be granted for selected participants after they have successfully completed data security training.

Our 5D AI Impact Approach

Diagnose | Listen first.

Students, faculty and staff will be surveyed to better understand how they currently use AI, what they already know and where they need support. The goal is not judgment; it is to meet people where they are and move forward together.

Design | Find meaningful opportunities for AI integration.

We will use what we learn through these surveys to identify tasks and workflows where AI could make work easier, better or more creative. Instead of asking what AI can do, we want to know how it can help.

Develop | Build around your needs.

Training and resources will be developed according to your needs as identified through pre-pilot surveys. Training will address key skills development in addition to data classification and data security best practices when using AI.

Deploy | Learn together.

We will deliver training for users of every background and skill level to improve prompting, use of pre-made agents and more. All pilot participants are invited to attend weekly office hours to address lingering questions and discuss what they’re learning.

Determine Impact | Measure what matters.

We'll look beyond usage and ask whether AI saved time, improved quality, supported creativity and created capacity for higher-value work. We'll assess this through built-in analytics tools and results of post-pilot surveys.

The pilot will run now through December 2026, when results will be made available to NEOMED leadership. Pilot outcomes will inform plans for further implementation in Spring 2027 and beyond.

Pilot Training

Pilot participants will be required to complete a series of trainings based on their preexisting skill level and awareness of AI tools. The full training series includes:

  • Know Your Data: NEOMED Data Classification & Safe AI Use. This training introduces the four tiers of data at NEOMED: public, internal, restricted and highly restricted. Attendees will learn which tool is approved for which tier, and what data should never be processed by an AI tool.
  • AI Fundamentals (LinkedIn Learning). This training will introduce what generative AI is and how prompting works. Attendees will also learn about its limits and best practices for responsible use.
  • AI Skills Session 1: Prompting and Pre-Made Agents in Copilot. This session will introduce prompt structure and how to refine AI outputs. Attendees will also learn how to use pre-built Copilot agents, including the Researcher, Analyst and Prompt Coach.
  • AI Skills Session 2: Building Agents and Workflows. This session will discuss building a simple agent in Copilot Studio grounded on a chosen document set. Attendees will also learn how to map one department workflow and redesign it with AI steps and human review points.

More information on available sessions and dates for completion of these trainings will be made available to pilot participants upon completion of the pre-pilot survey.

What's next?

Students will be contacted via email with a survey to understand their current awareness of AI tools, usage and skills. Your participation in the survey is crucial to identifying AI tools and resources that can support your learning and success at NEOMED.

Staff/Faculty pilot participants will be contacted via email with a pre-training survey and invitation to complete training sessions throughout November. Your participation in the survey and training is crucial to ensure AI implementation reflects the needs, priorities and readiness of NEOMED teams.

Your participation matters because NEOMED's AI future should be designed around the needs of our campus community, not to fit a specific tool. We're not simply adopting AI; we're learning, together, how AI can become a responsible partner in helping NEOMED create transformational leaders.
